How to organize a roofing claim file before submission

Five practical steps to give your reviewer a clear starting point.

A useful claim file lets the reviewer connect the carrier’s estimate, the roof condition, and the contractor’s scope. Before sending a file, use this simple organization routine to make the supporting information easier to follow.

1. Start with the latest estimate

Keep the original carrier estimate and the most recent revision. Label the versions by date instead of overwriting the earlier file. Put any prior supplement and related carrier responses alongside them so your reviewer can follow what has already been submitted.

2. Give every photo a location

Group photos by roof slope or affected area. Begin each group with an overview, then add detail photos of the condition you want reviewed. Use short, consistent labels such as “front slope — overview” and “front slope — flashing detail.” Keep your original images and use the photo guide to plan the set.

3. Connect quantities to measurements

Include the available measurement report and your contractor scope or bid. Point out differences you want reviewed and the source of each quantity. If a quantity is preliminary or a report is missing, say so in the file notes.

4. Collect the product references that apply

Record the actual manufacturer and product line. Save the relevant instructions or technical document with its date and page reference. The Brands & Materials library links to official manufacturer sources. Explain which job condition each document supports rather than sending an unrelated stack of PDFs.

5. Include a short status note

A brief cover note can explain where the claim stands and what you need reviewed. Include:

  • The current claim stage and the latest carrier response.
  • The scope items or documentation questions you want reviewed.
  • Documents still outstanding and who is collecting them.
  • A contractor contact who can answer follow-up questions.

A simple folder structure

  1. Estimates: original carrier estimate, revisions, contractor scope.
  2. Measurements: reports and supporting quantity notes.
  3. Photos: overview and detail groups by location.
  4. Product documents: applicable instructions and references.
  5. Communication: submission history and current questions.

You don’t need every document before contacting us. Send what you have and identify the gaps. We can explain what else may be needed after the initial review. An organized file supports review; approval and timing still depend on the individual claim.

Put your file to work.

Send the carrier estimate and your documents. We’ll turn the supplement around in 24-48 hours.
